Refunds & Cancellations Policy

1. Overview

This Refunds and Cancellations Policy explains how cancellations, refunds, and transfers are handled for bookings made with The Wild Outdoors Education Company.

Our programmes involve advance staffing, site hire, equipment, insurance, and logistical planning. As a result, refunds are limited and subject to the terms outlined below.

This policy applies to:

  • School activity days
  • Residential camps
  • Expeditions
  • Duke of Edinburgh Gold Residentials
  • Any other paid programmes delivered by The Wild Outdoors Education Company

2. School Bookings

2.1 Cancellations by Schools

Where a school cancels a booking, the following terms apply:

  • More than 60 days before delivery:
    Any fees paid may be refunded, minus a reasonable administration charge.
  • 30–60 days before delivery:
    A partial refund may be offered at our discretion, depending on costs already incurred.
  • Less than 30 days before delivery:
    No refund will normally be issued, as staffing, accommodation, transport, and resources will already have been committed.

Schools are encouraged to contact us as early as possible if circumstances change.

2.2 Changes to Numbers or Dates

Requests to amend pupil numbers or dates will be considered where practicable but cannot be guaranteed. Additional costs may apply.


3. Parent / Individual Bookings

3.1 Cancellations by Parents or Guardians

For bookings made directly by parents or guardians:

  • More than 30 days before the programme start date:
    A refund may be issued, minus an administration fee.
  • Less than 30 days before the programme start date:
    No refund will normally be available.

3.2 Illness or Injury

Refunds due to illness or injury are not guaranteed but may be considered on a case-by-case basis, particularly where medical evidence is provided. Where possible, a transfer to a future programme may be offered instead of a refund.


4. Non-Attendance or Early Departure

No refunds are issued for:

  • Non-attendance
  • Late arrival
  • Early departure
  • Removal from a programme due to behaviour or breaches of safety rules

5. Cancellations by The Wild Outdoors

In the unlikely event that The Wild Outdoors Education Company needs to cancel a programme (for example due to extreme weather, safety concerns, or circumstances beyond our control), we will:

  • Offer a full refund, or
  • Provide the option to transfer to a future programme

We are not responsible for additional costs incurred by schools or parents (such as transport or accommodation booked independently).


6. Transfers

Where possible, and at our discretion, we may allow bookings to be transferred to a future programme. Transfers are subject to availability and may incur an administration fee.


7. How Refunds Are Processed

Approved refunds will be processed using the original method of payment. Please allow a reasonable period for refunds to be processed by payment providers or banks.

We accept childcare vouchers!

If you receive child vouchers, we can now convert them into credit to use on Wild Outdoors Camps.

Simply go to our contact page and select the childcare vouchers option in the subject, then send us an email with your contact details and who your provider is and how much you would like. We can then add credit to your wallet for you to book when you would like.
